GENERAL STATEMENT OF DUTIES
The Clerk Typist I is responsible for performing a variety of clerical and data entry tasks involving the processing of Adult Probation cases; for doing assigned task work and examining work for exactness, neatness and conformance to policies and procedures; and assists other staff members in performing duties as required. |
SUPERVISION RECEIVED
Work is performed under the supervision of a designated person. |

- Ability to read and interpret documents such as safety rules, operation and maintenance instructions and procedure manuals.
- Ability to prepare correspondence as directed.
- Ability to speak effectively to customers.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
- Ability to assemble data and prepare accurate records and reports.
- Ability to operate standard office equipment including typewriter, computer, fax, copier, printer, etc. with skill and accuracy.
- Ability to work and maintain knowledge of District Court Software program.
- Ability to get along with the public and maintain working relationships with criminal justice officials.
- Ability to deal with and maintain confidentiality in an appropriate manner consistent with court standards.
- Ability to deal with problems involved in standard situations.
- Ability to work under stressful conditions.
- Ability to make mathematical computations quickly and accurately.
- Good judgment, tact and courtesy.

AN EMPLOYEE IN THIS CLASSIFICATION, UPON APPOINTMENT, MUST HAVE THE FOLLOWING TRAINING AND EXPERIENCE:
- An Associates Degree or equivalent from two-year college business/public administration or equivalent.
- One-year experience working in customer service.
- Equivalent combination of education and experience.

TYPICAL EXAMPLES OF WORK: (An employee in this classification may be called upon to perform the following tasks which are illustrative and not exhaustive in nature.)
- Set up new referrals for pre-sentence investigation and enter into probation database.
- Run LEIN traffic/criminal records for all new referrals and probationers.
- Request complaint reports from arresting agencies for probation agents.
- Type reports, records, correspondence, and forms from rough draft, corrected form, specific instructions and recorded voice dictation.
- Use various productivity software, i.e. Microsoft Word, Excel, and Access to produce a variety of media.
- Operate a variety of office equipment including telephone, copier, fax machine and recording devices.
- Schedule appointments for related workload.
- Proofread and edit prepared materials for grammar, spelling, punctuation and format.
- Maintain professional relations with attorneys, police officers, and other court personnel requesting services to resolve problems or concerns.
- Compile data for reports to specific requests or instructions.
- Input, update, retrieve and delete information form electronic folders and files.
- File and retrieve records and reports by alphabetical or categorical arrangement.
- Distribute mail and other office supplies.
- Receive and refer visitors and telephone calls to appropriate person; give appropriate information concerning department regulations and defendant information.
- Apply and interpret instructions/guidelines to resolve work problems.
- Compose routine correspondence and compile reports.
- Perform work for all the various agents (six) with understanding of priorities and expectations.
- Cross-train to fill in due to the absence of a co-worker.
- Perform related work as assigned.
