Title: ACCOUNT CLERK II - Adult Probation
Department: Circuit Court - Adult Probation
Wage Range: $28,458   View compensation structure
GENERAL STATEMENT OF DUTIES
The Account Clerk II is responsible for performing moderately complex and responsible bookkeeping and clerical work including posting to and maintaining accounts and ledgers; for preparing financial and other records and reports; and for performing general clerical work as required.
SUPERVISION RECEIVED
Work is performed under the general supervision of a designated person.
DESIRABLE QUALIFICATIONS
Considerable knowledge of bookkeeping principles, practices and procedures. Reasonable knowledge of general office procedures. Ability to operate standard office equipment including typewriter, computer, fax, copier, printer, with skill and accuracy.
Ability to make accurate mathematical computations quickly and accurately.
Ability to prepare financial records and reports.
Ability to work effectively with the public and with other employees.
Ability to work under stressful conditions.
AN EMPLOYEE IN THIS CLASSIFICATION, UPON APPOINTMENT, MUST HAVE THE FOLLOWING TRAINING AND EXPERIENCE:
Graduation from an accredited high school including or supplemented by typing and commercial courses.
Reasonable experience in performing responsible bookkeeping and clerical work.
TYPICAL EXAMPLES OF WORK: (An employee in this classification may be called upon to perform the following tasks which are illustrative and not exhaustive in nature.)
  • Reconcile restitution account and distribute checks to victims.
  • Submit statement for reimbursement of mileage and/or other services for probation officers.
  • Compile annual report for Adult Probation Department.
  • Tabulate annual vacation and sick leave for all of probation department staff.
  • Type reports, records, correspondence, and forms from rough draft, corrected form, specific instructions, and recorded voice dictation.
  • Use various productivity software, i.e. Microsoft Word, Excel, and Access to produce a variety of media.
  • Schedule appointments for related workload.
  • Proofread and edit prepared materials for grammar, spelling, punctuation, and format.
  • Maintain professional relations with attorneys, police officers, and other court personnel requesting services to resolve problems or concerns.
  • Compile data for reports to specific requests or instructions.
  • Input, update, retrieve, and delete information from electronic folders and files.
  • Rile and retrieve records and reports by alphabetical or categorical arrangement.
  • Distribute mail and other office supplies.
  • Receive and refer visitors and telephone calls to appropriate person; give appropriate information concerning department regulations and defendant information.
  • Apply and interpret instructions/guidelines to resolve work problems.
  • Compose routine correspondence and compile reports.
  • Perform work for all the various agents (six) with understanding of priorities and expectations.
  • Cross-train to fill in due to the absence of a co-worker.
  • Perform related work as required.
