Title: Clerk Typist I - Information Technology / Administration

GENERAL STATEMENT OF DUTIES
The Clerk Typist I performs a variety of responsible clerical, bookkeeping and other record keeping work for the departments of Information Technology and County Administration.  Proficiently performing secretarial duties using manual processes and computer programs; answering phones; assembling data; preparing accurate records, reports and files; data entry; processing orders and invoices; updating databases; and other responsible clerical duties as required.
SUPERVISION RECEIVED

Work is performed under the direct supervision of the Administrative Analyst and indirect supervision of the Administrator/Controller. 

Task assignments related to Information Technology to be given and overseen by the Information Technology Division Manager.

DESIRABLE QUALIFICATIONS

Proven command of office grammar, spelling and math skills.

Ability to make mathematical computations quickly and accurately with knowledge of basic bookkeeping.

Proven command of effective and professional communication skills:  such as verbal, telephone, email and other written correspondence.

Ability to relay information accurately through phone conversations, messages, emails and other forms of communication.

Significant Knowledge of modern office practices, procedures and use of equipment.

Proven ability to prepare, organize and maintain accurate records, data, reports and correspondence with skill, speed and accuracy.

Posses a technical background with understanding of information technology terms, use, and equipment.

Ability to multitask with a spirit of flexibility, and a strong customer service ethic efficiently and accuracy in a fast-paced, deadline-driven environment.

Proven ability to adapt to changing work assignments, locations and environments.

Ability to think critically with a high level of organization and attention to detail.

Ability to understand and carry out complex oral and written instructions.

Organized, reliable and punctual with the ability to work independently.

Ability to maintain sensitive information in strictest confidence.

Ability to deal with public and internal clients tactfully and courteously.

Ability to work effectively and efficiently with supervisors and other employees.

AN EMPLOYEE IN THIS CLASSIFICATION, UPON APPOINTMENT, MUST HAVE THE FOLLOWING TRAINING AND EXPERIENCE:

Graduation from an accredited high school (GED acceptable); including or supplemented by courses in computer systems and business; AND two or more years experience in performing responsible clerical work. Associates degree (A.A.) in computer information systems from a two-year college or technical training school is preferred.

Proficient skills in Microsoft Office Programs including but not limited to:  Word, Excel and Access with demonstrated speed and accuracy.
TYPICAL EXAMPLES OF WORK: (An employee in this classification may be called upon to perform the following tasks which are illustrative and not exhaustive in nature.)

Opening, sorting and categorizing all incoming information/mail to the departments and getting it to the appropriate people in a timely fashion.

Schedule appointments and meetings.

Duplicating, filing, recording and logging of data, including room requests, contract logs and corporation counsel logs.

Answering phones, providing information, and properly routing calls

First line customer service contact; waiting on walk-in customers. 

Remain abreast with the newest technology terms.

Complies with all safety rules and regulations and County policies.

Promotes the vision, mission and values of the department and County.

Supports the continuous quality improvement efforts and “Systems Thinking” philosophy.

Data input and retrieval with speed and accuracy.

Maintain operating supply inventory. 

Order, pick up, and distribute office and operating supplies and equipment.

Accurately submit help desk tickets for users as needed.

Contact vendors regarding billing, returns and other account information as needed.

Prepare vouchers, requisitions, reports and reconciliations.

Program pagers and telephones.

File, photocopy, scan, type, and email various documents.

Maintain records, files and various database programs.

Maintain records and correspondence for various boards/committee appointments. 

Maintain efficient flow of correspondence and information for the IT department.

Perform miscellaneous clerical duties related to office management.

Perform liaison duties between department and other offices as required.

Relieve managers of detailed office work.
