GENERAL STATEMENT OF DUTIES

To perform moderately difficult secretarial, clerical or other record keeping work, process administrative and clerical detail and handle the more routine administrative matters independently; to record and computerize correspondence, records and reports.  To perform public contact and related clerical and secretarial work as required.

SUPERVISION RECEIVED

Work is performed under the general supervision of the division head or other designated official.

SUPERVISION EXERCISED

May direct the activity of other clerical support staff.

DESIRABLE QUALIFICATIONS

Skill and proficiency in the use of all office equipment.

Ability to exercise good judgment in making decisions in accordance with established procedures and policies.

Ability to prioritize the importance and completion of varied tasks.

Flexibility in being able to handle more than one task at a time.

Ability to understand and carry out complex oral and written instructions.

Considerable communication skills with the public and other employees.

Ability to work effectively with the public and other employees.

Considerable knowledge of current office practices, procedures and methods.

Proven ability to tabulate data and prepare accurate records and reports.

Proven command of office grammar, spelling, math skills and necessary telephone skills.

Proven command of customer service skills.

Knowledge of the organization and procedures; operation of division software preferred.

Strong keyboarding ability in Envirotrack, Access, Excel and Word preferred.

AN EMPLOYEE IN THIS CLASSIFICATION, UPON APPOINTMENT, MUST HAVE THE FOLLOWING TRAINING AND EXPERIENCE:

Graduation from an accredited high school, supplemented by advanced business or commercial training.

Three to five years of progressively responsible experience in performing secretarial and clerical work.

TYPICAL EXAMPLES OF WORK: (An employee in this classification may be called upon to perform the following tasks which are illustrative and not exhaustive in nature.)

Maintain program policy and procedure manual.

Reconcile accounts and prepare deposits.

Organization and maintenance of division files.

Record and computerize letters, memoranda, articles, minutes, reports and other correspondence.

Compose and distribute correspondence.

Perform public contact work, receive callers and give information and direction by telephone or in person to the general public in need of services.

Receive and answer correspondence, prepare various forms and reports.

Maintain and set up of files and records, schedules, meetings, etc.

Compile information and statistics for use in reports, estimates and statements.

Make necessary decisions concerning appointments and complaints.

Perform liaison duties between department and other offices as required.

Prepare letters, forms, reports, records, tabulations from rough drafts or instructions.

Relieve Environmental Health Director of detailed office work.

Perform miscellaneous clerical duties related to office management.

Perform related work as assigned.
